Restaurant POS reconciliation, every week.

Your POS closes the night at one number and the bank shows another. We tie POS sales to card settlements, delivery payouts and bank deposits, so every difference has a name and nothing is guessed at.

A week, reconciled

POS sales$10,000
Less payment fees-$250
Less delivery fees-$700
Less refunds and adjustments-$150
Bank deposit$8,900

Example figures. Your bank balance should never be a mystery.

Why the POS and the bank never agree on their own.

The gap between a POS report and a bank deposit is not one mistake. It is several ordinary things happening at once, on different days, in different batches. Each one is explainable. Left alone, they pile up until nobody can say what the real sales number was.

Settlement timing

Card batches settle a day or more after service, and weekends roll into Monday or Tuesday.

Processing fees

Many processors take their fees out before the money arrives, so the deposit is short by design.

Delivery payouts

Platforms pay on their own schedule, net of commissions, promotions and adjustments.

Card tips

Tips paid by card are in the deposit but belong to staff, not to sales.

Refunds and voids

Refunds, comps and voids after close change the numbers the POS reported that night.

Cash and gift cards

Cash deposits, gift card sales and redemptions each move money without matching a card batch.

What we reconcile.

Every source of money between the guest paying and the cash landing in your account, matched line by line and kept by location.

  • POS sales by day
  • Card processor settlements
  • Processing fees
  • Delivery platform payouts
  • Online ordering payouts
  • Cash deposits
  • Card tips
  • Refunds, voids and comps
  • Gift card sales and redemptions
  • Location-by-location deposits

How it works.

  1. Connect the sources

POS reports, processor statements, platform statements and bank feeds for each location.

  2. Record sales at the source

Sales come from the POS and platform reports, not from the deposit. Fees are recorded as fees.

  3. Match every deposit

Each deposit is matched to the sales and settlements it belongs to, including the ones that arrive days later.

  4. Explain what's left

Anything that doesn't match is listed with the reason, so a missing deposit or a wrong fee shows up the same week.
